Why an Equipment List Is Not Enough
An equipment list can record products, quantities and general utility requirements. That is useful early in planning, but it does not show where each connection reaches the unit, which side must remain accessible or whether the final booth layout leaves enough room for installation and service.
Before move-in, the crew also needs the connection side, continuous-power status, service clearance, installation sequence, test order and responsible technician. When those details are missing, the installation documents can give conflicting instructions for the same equipment.

Use One Equipment ID Across Every Plan
Every operating refrigerator, freezer, ice machine, blast chiller or walk-in cooler system should have a unique equipment ID. That ID should remain unchanged on the floor plan, freight list, utility order, installation notes and final test record.

Water, drainage, connection side and technician access should be confirmed before counters, flooring and exhibit structures are finalized.
Turn the Equipment Schedule Into a Floor Plan the Crew Can Use
The schedule becomes useful only when every equipment ID, utility point and clearance requirement appears in the correct place on the booth floor plan.
1. Keep the Equipment IDs Consistent
Use the same identifier on the equipment schedule, floor plan, freight list, utility order and test record.
2. Verify Each Model’s Requirements
Confirm electrical load, continuous power, water, drainage, airflow and operating requirements from the manufacturer’s documentation.
3. Mark the Connection Side
Record whether power, water and drainage connect from the rear, side, bottom or top of the unit. Do not rely on a generic product image.
4. Show the Actual Utility Location
Place each utility point where it reaches the equipment instead of marking it somewhere nearby.
5. Protect Operating and Service Clearance
Check that walls, counters and neighboring units do not block doors, panels, filters, drainage access or startup work.
6. Set the Installation Sequence
Coordinate heavy-equipment placement, walk-in assembly, booth structures and utility connections so later work does not restrict access.
7. Test Normal Operation
Check electrical service, water, drainage, temperature, alarms, door operation and the full equipment cycle—not just whether the unit powers on.
Before move-in, review the floor plan, utility orders and delivery sequence together as part of logistics and pre-show coordination.
Two Refrigerators and One Ice Machine
R-01 and R-02 identify two reach-in refrigerators, while I-01 identifies the ice machine. Each unit appears on the floor plan with its own utility notes. The ice machine’s water, drainage and service side stay in the technical area, while the refrigerator doors remain accessible from the buyer side.
Walk-In Cooler With Supporting Equipment
The walk-in structure is assembled before nearby counters and finish elements restrict access. Its equipment ID, utility points and service clearance appear on both the floor plan and equipment schedule. In a larger multi-zone exhibit, a 30x40 booth layout can help separate the assembly route, technical access and buyer-facing display area.

Should water and drainage points appear on the booth floor plan?
Yes. The floor plan should show the exact water inlet, drainage point and connection side for each unit rather than simply noting that utilities are required.
When should the refrigeration utility map be finalized?
Finalize the utility map after equipment models, booth positions and connection sides are confirmed, but before service orders, booth production and the installation sequence are locked.
The utility map is complete only when the crew can match every unit with the correct connection, clearance and test requirement on the show floor.
