What the Inline Booth Fee Actually Includes
For an inline exhibit, the current fee includes the contracted floor area, an 8-foot backwall drape, 3-foot sidewall drape, an identification sign, directory and app listings, and selected promotional tools. Mandatory floor covering must be supplied separately by the exhibitor.
What remains depends on the display. A working booth may still require flooring, modular or custom structures, graphics, lighting, furniture, screens, power, internet, rigging, material handling, installation, dismantle, cleaning, equipment placement, and testing.
Rates, suppliers, order procedures, and deadlines for these items should be checked through the current Exhibitor Resource Center rather than assumed from the booth-space contract.
Separate the Budget Before Comparing Booth Proposals
A proposal becomes easier to evaluate when four connected areas are separated.
Official participation begins with the purchased space and its Standard or Prime classification. Sponsorship and other organizer-provided visibility sit in this part of the budget as separate decisions.
The exhibit environment is the booth visitors actually see and use: flooring, structure, graphics, lighting, screens, work surfaces, storage, reception, and meeting areas.
Show services are where the booth plan meets the venue. Power, internet, rigging, material handling, labor, and cleaning may all be ordered and priced separately.
Equipment execution starts before the machine reaches the booth. It can include freight, target placement, utility connections, startup, testing, show-day operation, shutdown, packing, and outbound movement.
Before comparing proposals, normalize three assumptions:
The contracted footprint;
The show services included;
The equipment installation and removal sequence.
A proposal pricing only the visible structure is not directly comparable with one that also accounts for utility routes, target placement, testing access, and dismantle.
This is where an apparently lower quote can become more expensive: another equipment move, a blocked service panel, or a late utility change can add cost without improving anything visitors see.

How the Cost Mix Changes by Exhibitor Type
Square footage matters, but the proof visitors need to see often has a greater effect on where the budget goes.
Sample- or material-led exhibitors typically spend more on controlled lighting, comparison displays, labels, graphics, storage, and replenishment. Additional space has limited value when the samples are difficult to compare or the application story remains unclear.
Software and workflow exhibitors carry less machinery freight, but their risk moves elsewhere. Screens, mounts, power, content systems, and dependable internet become more important. The venue’s complimentary guest Wi-Fi is limited to common areas, lobbies, and meeting rooms; it is not available on the show floor or intended for streaming and business-heavy use. A live cloud demonstration therefore needs an appropriate show-floor connection in the budget.
Apparel and compact-demo booths sit between static sample displays and full production systems. DTF, DTG, embroidery, screen-printing, and heat-press exhibitors may need electrical service, garments, films, inks, thread, finished samples, concealed supplies, and repeated daily resets. Compact equipment does not necessarily produce a compact operating budget.
Production-equipment exhibitors usually carry the greatest execution burden. The machine can affect the footprint, utility routes, placement access, labor sequence, output-review area, and dismantle plan—not simply the inbound freight charge.
Live Equipment Changes More Than Freight
A press, cutting system, finishing unit, or converting machine should not be judged only by whether its physical dimensions fit inside the booth.
The usable footprint must also account for service access, operator movement, material input, output collection, storage, visitor separation, and technical discussions. PRINTING United currently requires machinery and other large products to be set back at least 12 inches from the aisle. Printed samples must also remain inside the contracted booth rather than extending into aisle space.
Operating equipment may add dedicated power, data connections, compressed air where required, technicians, calibration, test materials, consumables, cleaning, and outbound preparation.
These dependencies become more pronounced when equipment placement and live-demo planning must be settled before the surrounding structure is finalized.
A machine may technically fit inside a 20×20 booth and still leave too little working space once the aisle setback, service side, operator position, material loading, output review, storage, and visitor boundary are drawn around it.

Rental, custom, and hybrid construction should be selected around the operating plan, with tailored elements reserved for equipment, utilities, sample review, or other product-specific requirements.
Where to Spend More: Space, Location, or Sponsorship?
A booth that feels underfunded does not always need the same fix.

More space is justified when the exhibit cannot perform its main task inside the current footprint. Location matters more after the equipment, sample review, storage, and meeting requirements already work.
The organizer describes the live floor plan as a way to assess positions near complementary brands, high-traffic aisles, and targeted segments. For equipment-led exhibits, that visibility must still be weighed against delivery access, placement, utility routes, and move-in sequencing.
Published 2026 sponsorship packages range from $30,000 for Gold to $100,000 for Title. Branding, media, digital visibility, floor-plan exposure, lead access, and qualifying move-in benefits vary by tier. Sponsorship is separate from booth-space pricing and does not include the exhibit build or show services.
Sponsorship can extend the reach of a booth that already has a clear story. It cannot correct inadequate working space, unreadable samples, or an unreliable demonstration.
When Standard Components Are Enough—and When They Are Not
A rental, custom, or hybrid structure should be selected after the operating plan is understood.
Rental components are often enough when samples, software, screens, compact equipment, standard storage, and small meetings can fit within a repeatable system. In that setting, modular rental architecture can remain reusable while the graphics, screens, samples, and work surfaces change from one show to another.
Custom construction becomes relevant when the product begins to determine the architecture. Large machinery, engineered clearances, complex utilities, elevated branding, or several operating zones may require fabrication and equipment integration to follow the machine position and installation sequence from the beginning.
A hybrid exhibit keeps the general walls, reception, screens, storage, and meeting areas reusable while tailoring the equipment bay, output-review system, technical storage, utility access, or another product-specific working area.
The practical distinction is not whether the exhibit looks custom. It is whether standard components can support the operating plan without creating extra placement, labor, testing, or dismantle problems.
