Shipping & Material Handling

Shipping Scope & Charges

What is the difference between shipping and material handling?

Shipping moves freight between your facility and the designated warehouse or show site. Material handling, also called drayage, covers unloading, delivery to the booth, empty-container handling, and loading onto the outbound carrier. The show’s official contractor usually handles these on-site movements.

Does Circle Exhibit coordinate booth shipping?

Yes. Circle Exhibit coordinates freight timing, delivery routes, crate labeling, and show-site handoff within the agreed project scope. The proposal should identify who books the carrier and tracks each shipment. Confirm separately whether your products, samples, and equipment are included.

Is material handling included in the shipping quote?

Not automatically. A carrier’s freight charge and the show contractor’s material handling charge cover different work. Check whether material handling is included, estimated, or billed separately in your proposal, and confirm who places the order and pays the contractor.

Delivery Routes & Arrival Times

Should we ship to an advance warehouse or directly to the show?

An advance warehouse gives you an earlier receiving window; direct-to-show delivery follows the venue’s move-in schedule. Choose around production readiness, accepted freight types, and the total shipping and handling charges. Use the address and labels specified for your chosen route.

When should our booth freight arrive?

Use the receiving dates and any assigned delivery slot in the current exhibitor manual. A truck’s check-in time is not the time freight reaches your booth. Allow for unloading and booth delivery before scheduling the installation crew.

The carrier says “delivered.” Why is the freight not at our booth?

“Delivered” may mean the shipment was signed for at the warehouse or loading dock. Ask the official contractor to confirm its location using your tracking number, booth number, and piece count. Update the installation team once booth delivery is confirmed.

Packing, Labels & Receiving

What shipment details are needed before booking?

Provide the pickup address, ready date, number of pieces, packed dimensions, and weight. Identify fragile, oversized, or non-stackable items and any special loading requirements. Keep a packing list showing what is in each crate so the receiving and installation teams can check the shipment.

How should we label crates and cartons?

Use the show’s official labels for advance warehouse or direct-to-show delivery. Put the exhibitor name, booth number, show name, and correct receiving address on every piece, following the label instructions. Remove old shipping labels and keep piece numbers consistent with the packing list.

What should we do if freight arrives damaged or incomplete?

Photograph the packaging and visible damage, and record missing pieces against the packing list. Keep the tracking number and delivery records available. Notify your project contact, carrier, and official contractor promptly so they can trace the shipment and agree on next steps.

Empty Crates & Return Shipping

What happens to empty crates during the show?

Remove all contents before attaching the official contractor’s empty-storage labels. The contractor collects the crates and returns them during move-out according to the show schedule. Keep tools and supplies you need during the event at the booth, or arrange accessible storage separately.

Who arranges return shipping and outbound paperwork?

Agree before the show who books the carrier, labels the packed freight, and submits the required outbound material handling form or bill of lading. Carrier booking and freight release are separate steps. Confirm the destination and responsibilities for both the rental booth and your own materials.

What happens if our return carrier misses the pickup deadline?

Contact the official contractor as soon as a delay is known. Under the show’s rules, uncollected freight may be rerouted or moved to storage, with additional charges. Give the carrier the correct check-in deadline and location, and leave a reachable contact to approve any changes.
