Installation & Dismantling

Installation Scope & Responsibilities

Does Circle Exhibit handle installation and dismantling?

Yes. Circle Exhibit supports booth installation and dismantling (I&D) within the agreed project scope. The proposal should identify the work covered, such as structure assembly, graphics installation, final adjustments, and repacking. It should also name the person coordinating the crew and show-site handover.

Who handles electrical work, rigging, and internet?

These services may be reserved for the venue or its designated providers. Booth installation does not automatically include electrical connections, overhead rigging, or internet activation. Confirm who places each order, coordinates the work, and pays the charges before move-in.

Can our staff help set up the booth?

Some shows allow company employees to handle certain setup tasks; others set limits on tools, time, or the work involved. Check the exhibitor manual for staff permissions and union labor requirements. Electrical work and lifting equipment may follow separate rules.

Move-In & Installation

How long does booth installation take?

Installation time depends on the structure, graphic area, equipment, and work allowed during the move-in window. The schedule also needs to account for freight reaching the booth and required services being ready. Agree on a handover time that leaves room for checks and demo testing.

What needs to be ready before the installation crew arrives?

Have the approved layout, assembly details, packing list, and service locations ready. Confirm freight arrival and the person authorized to approve changes. Meet the show’s deadlines for exhibitor-appointed contractor (EAC) registration, insurance documents, and badges where required.

Do we need to be on site during installation?

Attendance depends on the supervision and handover arrangements agreed for your project. Someone from your company should be available to answer product questions and approve decisions. You may also need a team member on site to position products, test demonstrations, and accept the finished booth.

Handover & Show Support

What should we check before accepting the booth?

Walk through the booth against the approved layout and item list. Check graphics, lighting, furniture, storage doors, and product positions. Test screens, internet, and demos under show-floor conditions. Record anything missing, damaged, or unfinished, and agree who will resolve it before opening.

Who sets up and tests our products and demo software?

Assign this before move-in. Your product or technical team should handle specialist configuration, software access, and demo checks unless that work has been specifically agreed with another provider. Share any handling or connection requirements early, and allow testing time after the booth’s power and internet are working.

Who should we contact if something stops working during the show?

Use the show-site contact agreed for your project, with your booth number and a brief description of the problem. Power or internet faults may need the relevant service provider. Confirm support hours and whether help is on site or on call before the show opens.

Dismantling & Move-Out

When can booth dismantling begin?

Start only when the organizer permits dismantling. The end of visitor hours may not be the crew’s access time, and empty crates may return later. Schedule the crew around the official move-out window, required service disconnections, and expected crate availability.

Who packs our products and equipment after the show?

Confirm product packing separately from booth teardown. Your equipment may need original cases, specialist handling, or instructions from your staff. Identify what returns with the booth, what ships separately, and what your team takes away. Label these items and agree who checks the final inventory.

Can our team leave before dismantling is finished?

Your team can leave once its tasks are complete if the show rules and agreed supervision arrangements allow it. Confirm who will oversee dismantling, check the packed inventory, and handle outbound questions. Leave clear instructions and a reachable contact before departing.
