Planning & Timelines

Getting Started

How far in advance should we start planning our booth?

Start as soon as your show dates and booth space are confirmed. Allow time for design reviews, production, freight, and installation. Custom fixtures, material sourcing, and several approval rounds can extend the lead time, so agree on a dated project schedule before committing to the design.

What information do you need to build a timeline?

Send the show name, venue, booth size, move-in date, budget range, and display requirements. Include any existing design, artwork status, and equipment arrival dates. Tell us who approves the layout and graphics, and flag internal review dates that cannot move.

Is a rental booth quicker to prepare than a custom build?

An available rental structure can reduce fabrication work, but graphics, custom additions, approvals, and shipping still need time. The schedule depends on the selected components and production capacity. Ask for confirmed production and delivery dates for the option you choose.

Design & Approval Dates

When do we need to approve the booth layout?

Use the layout sign-off date in your project schedule. It should come before work that depends on final dimensions, structural details, and equipment positions. If your show requires plan approval, include its submission deadline and review time before releasing the affected work.

When should final artwork be approved?

Set a final artwork approval date that leaves time for file checks, printing, finishing, and packing before dispatch. Sending a draft is not the same as approving it for print. Allow a separate review step for proofs and any color samples agreed for the project.

How can we keep internal reviews from delaying the project?

Name one person to collect feedback and one authorized approver, if those are different roles. Give reviewers a deadline and return one consolidated set of comments. Identify the exact drawing or artwork version being approved so an earlier file does not go into production.

Production & Show Deadlines

Which milestones should our booth schedule include?

Include layout sign-off, artwork approval, production completion, checks before packing, dispatch, freight arrival, installation, and handover. Give each milestone a date and an owner. Work backward from move-in and leave time after handover for your team to place products and test demonstrations.

Which show deadlines should we track separately?

Track booth-plan submissions, contractor registration, service-order discounts, freight receiving windows, and move-in access where applicable. These dates come from the organizer or official contractor. A discount deadline may be earlier than the final order cutoff, so record both in the project schedule.

Can preparation start before all artwork is final?

Some preparation may be possible once the relevant layout and specifications are approved. Printing still needs final artwork approval, and work affected by unresolved details may have to wait. Ask the project team to identify what can proceed and which decisions are holding up the schedule.

Delays & Last-Minute Projects

What happens if we miss an approval deadline?

Tell the project team as soon as an approval looks likely to be late. Ask which production tasks and bookings are affected, whether the delivery date can still be met, and what changes would be needed. Get the revised dates and any extra costs confirmed before proceeding.

Can Circle Exhibit help with a last-minute booth project?

Send the show’s move-in date, booth size, current design, and available artwork. We’ll review component availability, production capacity, freight options, and installation access before confirming whether the project is feasible.

Can paying a rush fee make up for lost time?

Only if a faster production or freight option is available and fits the remaining schedule. A rush fee does not change the show’s receiving windows, approval requirements, or access rules. Ask which task can finish sooner, by how much, and at what added cost.
