Customizing a Rental Booth

What can we customize in a rental booth?

A rental booth can carry your branding through graphics, counters, product displays, and selected finishes. The layout can also include screens, meeting space, and storage. Options depend on the chosen rental structure and show rules. Changes to the structure itself need a separate review.

Can we use our own concept or adapt an existing booth design?

Send your own concept or choose a rental layout as a starting point. Include dimensions, brand guidelines, and the features you want to keep or change. Circle Exhibit can review how the idea fits the available structure, your equipment, and the show’s requirements.

Can we use the same booth design at different shows?

The same design can often be adapted, but each show’s booth dimensions, open sides, and display rules need to be checked. Branding can stay consistent while the layout changes. Confirm component availability and graphic sizes for each booking; a smaller footprint may need a different arrangement.

Planning the Layout

How should we divide the space between demos and meetings?

Allow space for the equipment, presenter, and viewers at each demo station. Position meeting seats away from the demo queue and keep access to both areas clear. Share the expected audience and meeting group sizes. In a compact booth, an open meeting table may fit better than a separate room.

Can we include an enclosed meeting room or storage area?

An enclosed room may be possible, depending on the booth size, structure, and show rules. Allow for walls, door openings, and access as well as furniture or stored items. If meetings need acoustic privacy, discuss sound control separately; enclosing the space does not make it soundproof.

Can we add tall walls or a hanging sign?

Check the current show rules for your booth type before adding these features. Height limits, sightlines, and permission for hanging signs vary by event and booth location. Confirm any required drawings, approvals, and venue rigging arrangements before the design is finalized.

Graphics, Screens & Products

What artwork do you need for booth graphics?

Send vector logos, brand guidelines, and original image files. Use the supplied print templates for final artwork, including bleed and panel breaks. Keep key text clear of seams, frames, and screen mounts. Confirm file format and image resolution at the final print size before submitting artwork.

Can printed graphics match our brand colors?

Provide brand color references, including Pantone codes if your brand uses them. Colors can look different on a monitor, printed fabric, and rigid panels. For a color that must be closely matched, discuss a sample on the intended material before approving the full print run.

Can we bring our own screens or display equipment?

Share each item’s model, dimensions, weight, power needs, and mounting details before the layout is approved. Screens need suitable supports and cable routes; larger products may also need handling access or ventilation. We’ll review these requirements before confirming that the equipment can be used in the booth.

Reviewing & Approving the Design

Will we see a 3D design before production?

Circle Exhibit offers 3D booth previews to help you review the layout, branding, and display positions. Confirm which views and revision rounds are included in your proposal. Review dimensions and graphic proofs separately; a rendering does not confirm print color or the details needed for construction.

What should we check before approving the design?

Check the booth dimensions, open sides, demo positions, screen viewing angles, and access to seating and storage. Proofread every graphic and confirm where power is needed. Match the approved design to the quote so each item is clearly included, optional, or supplied by your team.

Can we make changes after approval?

Changes may still be possible, depending on what has already been ordered, printed, or built. Replacing a graphic or moving a fixture can require new production work. Ask for the revised drawing, any cost change, and schedule impact before approving the change.
